Post-Clerkship Administrative Coordinator

Under general supervision, provides administrative support for third and fourth year curriculum. Collaborates with departmental and year coordinators to assist in enrollment and placement of students, coordinates space utilization and room reservations, and works to ensure students are provided an optimum learning experience while adhering to the University of South Carolina School of Medicine Greenville (USCSOMG) policies and procedures. Additionally manages the NBME subject exam administration and proctor notification process. Organizes and assists with departmental projects as needed as well as supports the Associate Dean of Undergraduate Medical Education and the Assistant Dean of Clerkship and Post-Clerkship Education. Coordinates clinical department student rotations for Clerkship and Post-clerkship phases of undergraduate medical education. Demonstrates commitment to conducting business lawfully and ethically by consistently adhering to compliance policies, procedures, and regulations.

Typically holds a high school diploma or GED. Requires 2 or more years of job related experience.

Experience with administrative support to physicians/residents or experience as a manager in a physician practice or experience in medical education field, managing a program of significant size and responsibility. Proficient with Microsoft Word, PowerPoint, Excel and Outlook Strong Experience working with online learning and assessment systems in an academic environment (OASIS, Canvas, Self Service Carolina).

Ability to work independently. Eye for detail. Time management and organization skills to prioritize and complete tasks accurately and independently in a very busy environment and with professionalism. Problem-solving and decision-making skills to interact effectively with the diverse student population and to resolve conflicts. Skill in the development and preparation of instructional aids. Strong interpersonal communication skills.

Serves as administrative support for M3/M4 curriculum including clerkship, post-clerkship, the Associate Dean for Undergraduate Medical Education, and the Assistant Dean of Clerkship and Post-Clerkship Education. Coordinates room reservations for classes and exams, schedules class recordings, provides support to departmental and year coordinators. Additionally, coordinates rotations for the Radiology and Pathology departments as well as M4 Longitudinal electives.

Manages the purchasing, ordering, and administration of NBME examinations and organization of day-of responsibilities. Maintains proctor schedule to ensure necessary compliance and room reservation. Proctors a set number of exams to be determined by institutional needs.

In collaboration with departmental and year coordinators, assists in the course enrollment and placement of M3 and M4 students. Updates course availability in the enrollment software on an annual basis and any further updates throughout the year will be executed in a timely manner. Oversees and maintains the Affiliation Agreements between USCSOMG and other institutions to ensure compliance.

Collaborates with departments and clinical coordinators to assist in the organization and execution of orientations, annual retreats, working groups and subcommittee meetings.

Accepts and performs other related duties as assigned. Participates in special projects and special events within the department and School as required.
