This role combines hands‑on administrative support with leadership responsibilities, overseeing office processes, coordinating administrative staff, and serving as a key partner to Operations and Management teams. The ideal candidate is highly organized, proactive, people‑focused, and comfortable managing multiple priorities in a fast‑paced environment.Key ResponsibilitiesDirectly manage and oversee Office Coordinators across multiple office locationsEnsure consistent administrative processes, standards, and best practices are followed company‑wideProvide coaching, guidance, and performance feedback to Office CoordinatorsLead onboarding and training for new Office Coordinators across all locationsAct as escalation point for complex administrative or office‑related issuesFoster collaboration and communication among office teams across regionsEvaluate workflows and recommend improvements to increase efficiency and accuracyOversee day‑to‑day administrative functions across multiple officesManage administrative processes within the AirOne operating systemSet up and maintain electronic project files and documentationTrack bid closing dates and ensure timely submission of proposalsReview and process contracts, purchase orders, subcontracts, and related documentsEnsure completion and accuracy of W9s, tax forms, vendor setups, and COIsPrepare and distribute qualification submittalsMonitor office supply budgets and ordering for multiple locationsCoordinate mail, shipping, and office logistics across officesPartner with building management on maintenance and office needsOversee instrument inventory and calibration tracking across all locationsCoordinate equipment repair and calibration shipmentsEnsure compliance with documentation and notify Operations Managers of upcoming needsServe as primary administrative liaison between office staff, field teams, and leadershipEnsure professional and consistent office experience across all locationsSupport leadership by providing updates, insights, and recommendations related to office operationsQualifications5+ years of previous multi‑site management experience requiredAssociate's degree or higher requiredPrevious mechanical, electrical, or construction industry experience preferred but not requiredDemonstrated experience leading or supervising administrative teams preferredStrong organizational, time management, and prioritization skillsExcellent verbal and written communication skillsHigh attention to detail and follow‑throughProficient in Microsoft Word, Excel, and OutlookExperience with service or project management systems including Bluebeam preferredAbility to manage competing priorities in a fast‑paced environmentWorking ConditionsFull‑time position in officeOccasional overtime may be required during peak periods.Office environment with regular use of standard office equipment.Typical working hours are Monday through Friday 8:00am to 5:00pm100% company‑paid base medical and dental coverage for employeesMedical coverage includes $30,000 life insuranceVision coverage, voluntary life insurance, short/long term disability, accident & critical illness coverage401(k) matching programPaid time off and 7 days of holiday pay#J-18808-Ljbffr
