Maintenance Operations Manager

About Us

We are a growing real estate investment and management company focused on building and operating high-quality rental communities. With ~300 units across multiple locations and a 152-unit development underway, we are scaling toward larger, more centralized operations.

We are seeking a high-accountability operator to bring structure, organization, and performance to our maintenance function as we grow.

Position Summary

The Maintenance Operations Manager is responsible for building, managing, and continuously improving the systems that drive maintenance performance across our portfolio.

This role oversees:

  • Work order execution
  • Unit turns
  • Preventative maintenance programs
  • Capital improvement coordination

This is a leadership role focused on building systems, not performing day-to-day maintenance tasks.

The ideal candidate is highly organized, tech-savvy, and process-driven, with the ability to hold teams accountable and create scalable systems.

Key Responsibilities

Operations & Execution

  • Oversee all maintenance activity across ~300 units (expanding portfolio)
  • Ensure timely completion of work orders, turns, and maintenance projects
  • Establish and enforce service level standards (response times, completion rates, etc.)
  • Monitor, report on, and improve maintenance KPIs

Systems & Process Development

  • Build and refine SOPs for:
  • Work orders
  • Unit turns
  • Preventative maintenance
  • CapEx coordination
  • Ensure accurate and consistent use of property management software
  • Create reporting dashboards and maintain data integrity

Inventory & Materials Management

  • Design and implement a standardized inventory system across all properties
  • Establish par levels and stocking standards for common materials
  • Track usage and costs to reduce waste and improve forecasting
  • Ensure teams have materials available to complete work efficiently
  • Maintain organized and functional storage areas

Team Leadership & Accountability

  • Manage maintenance staff and/or vendors across multiple locations
  • Set expectations, track performance, and enforce accountability
  • Identify gaps in staffing, training, and vendor performance

Preventative Maintenance Program

  • Design and implement a scalable PM program
  • Reduce reactive maintenance and emergency costs
  • Track asset lifecycle and replacement planning

Capital Projects (CapEx)

  • Coordinate execution of renovation and improvement projects
  • Work with ownership on budgeting, timelines, and scope
  • Ensure projects are completed on time and within budget

Vendor Management

  • Source, vet, and manage third-party vendors
  • Negotiate pricing and ensure quality standards
  • Build a reliable vendor network for scale

Qualifications

Required

  • 5+ years in maintenance, facilities, or property operations
  • 2+ years in a supervisory or management role
  • Strong organizational and systems-thinking ability
  • Experience managing multiple properties or sites
  • High level of accountability and follow-through

Technical Skills

  • Proficient with property management or work order systems (AppFolio, Buildium, etc.)
  • Strong data entry discipline and reporting mindset
  • Comfortable using technology to drive efficiency

Preferred

  • Experience in multifamily or rental housing
  • Experience scaling operations or building systems from scratch
  • CapEx/project coordination experience
  • Experience implementing inventory or materials management systems
