The life of a HR Systems Coordinator is never boring when you serve as the backbone of system support for HTI's Quality and HR technologies. In this role, you ensure the smooth operation of critical platforms like the Applicant Tracking System (ATS), supporting employees across the organization. From onboarding system setup to troubleshooting user issues and maintaining data integrity, the HR Systems Coordinator plays a key role in keeping operations running efficiently while delivering an exceptional user experience.

As a HR Systems Coordinator, you will serve as the go-to resource for system support and user access across HTI. You enjoy solving problems, helping others navigate systems, and ensuring processes run smoothly behind the scenes. You are proactive, able to manage multiple requests, and committed to improving system usability and support processes.

RESPONSIBILITIES:

Systems Support & Administration

  • Serve as the primary point of contact for Quality system support requests.
  • Triage and respond to incoming tickets related to system and ATS functionality.
  • Create, update, and deactivate user accounts and permissions for new hires, transfers, and terminations.
  • Maintain accurate user roles and access levels in compliance with company policies.
  • Monitor ticket queues to ensure timely response and resolution.
  • Troubleshoot basic system issues and guide users through solutions.
  • Escalate complex or technical issues to the Quality Systems Specialist as needed.

Onboarding & System Setup

  • Support onboarding by ensuring timely system setup and access for new hires.
  • Maintain HTI and client onboarding documents and packages within ATS.
  • Set up and manage client billing configurations within ATS.

Data Integrity & Compliance

  • Assist with system audits, data integrity checks, and compliance-related activities.
  • Maintain accurate records and ensure system data aligns with company standards.
  • Update and maintain Quality reports and system documentation.

Process Improvement & Support

  • Document processes, FAQs, and recurring issues to improve efficiency and user experience.
  • Manage external employee Quality support communications, including login assistance.
  • Identify trends in support requests and recommend improvements.

Work Environment:

The role is primarily office-based, requiring regular interaction with operations and internal departments.

Travel:

Occasional travel may be required to HTI branch or onsite locations as needed.
