A little about the position:

Job Summary

The Executive Assistant supports members of the Executive Leadership Team by overseeing administrative tasks and coordinating mid-level projects with a proactive approach. Responsibilities include scheduling meetings, engaging with senior leaders, customers, and vendors, project coordination, creating reports and documents, preparing meeting materials, and assisting with special projects.

Some of What You Will Do:

1. Executive Support & Calendar Management
  • Manage calendars for multiple ELT members, proactively scheduling and prioritizing meetings, calls, and commitments.
  • Track executive priorities and adapt schedules, identifying flexible and fixed meetings and adjust accordingly.
  • Coordinate group meetings, events, and outings, handling reservations, logistics, and communications.
  • Arrange domestic and international travel via Concur, ensuring accuracy and proper itinerary prepared.
  • Organize and distribute meeting materials and presentations.
2. Project & Meeting Coordination

• Support the creation of monthly and quarterly deliverables, including Board of Directors slides, Operating Committee meeting materials, and other executive documents.

• Plan and coordinate meetings in their entirety including, attendee lists, RSVPs, agenda creation, note-taking, distributing minutes, and follow-up actions.

• Implement a reliable follow-up system to track outstanding items and ensure proper execution.

• Prepare and edit correspondence, presentations, reports, and other documents with a high level of accuracy.

3. Operational & Administrative Support
  • Prepare and reconcile expense reports and corporate credit card statements for ELT members.
  • Coordinate logistics for recurring meetings and executive-led events.
  • Oversee meeting room arrangements, including setup, catering, materials, and post-event cleanup as required.
  • Collaborate with the Senior Executive Assistant to facilitate large-scale meetings, such as annual strategic planning sessions for ELT and SLT, Key Managers Meeting, and Dealer Conference.
  • Work with the Front Desk Lead to manage supply ordering and address administrative requirements.
  • Assist in scheduling and coordinating training sessions and company-wide events as necessary.
  • Provide occasional backup coverage for the Front Desk Lead and assume responsibility for special projects as assigned.
What You Bring to the Table: (Qualifications)
  • Bachelor's degree preferred; associate's degree with relevant experience considered.
  • At least five years in executive administrative support required.
  • Comfortable engaging with employees, partners, vendors, and customers at all levels.
  • Strong customer service and professional written and verbal communication skills.
  • Proficient in Microsoft Office and Adobe; Teams, Zoom, and Concur experience a plus.
  • Skilled in editing and compiling information from various platforms.
  • Knowledgeable in standard administrative tasks (supplies management, call screening, prioritizing).
  • Experienced in event planning, travel coordination, and basic contract review.
  • Able to work onsite Monday-Friday, 8:00 a.m.-5:00 p.m., with after-hours support as needed.
  • Occasional travel for offsite meetings (approx.. 5%).

Salary Range: $62,500 to $83,000/year

Our compensation reflects the cost of labor across US geographic markets. Starting pay for this role will vary based on multiple factors, including location, knowledge, skills, education, and experience. Pay ranges may be modified in the future.
