About the Role

We are seeking a meticulous and proactive HR Operations Manager to serve as the cornerstone of our HR function. You will be responsible for ensuring the accuracy, efficiency, and compliance of all core HR operations. This role is critical in managing the employee lifecycle, optimizing our HR systems, and delivering a seamless experience for employees and managers. The ideal candidate is a process expert with deep knowledge of U.S. HR practices, a passion for data integrity, and a continuous improvement mindset.

Key Responsibilities

HR Operations & Employee Lifecycle Management:

  • Own and manage the end-to-end processes for onboarding, offboarding, transfers, and all employment status changes.
  • Oversee the probationary period tracking system, ensuring timely reviews and communications.
  • Serve as the primary administrator for HRIS (e.g., ADP) and other HR technology platforms, ensuring data integrity, troubleshooting issues, and managing configurations.
  • Act as the main point of contact for payroll processing in partnership with Finance, ensuring accurate and timely execution via ADP. Make and provide finance required payroll related summary data.

Performance Management & Analytics:

  • Administer the company's performance review cycle, including system setup, timeline management, manager communications, and tracking completion.
  • Develop, generate, and analyze regular HR metrics, reports, and dashboards (e.g., headcount, turnover, compliance analytics) to provide data-driven insights to leadership.
  • Track key HR operational metrics to identify trends, bottlenecks, and opportunities for improvement.

Compliance, Policy, Audit & Immigration:

  • Ensure all HR practices comply with federal, state, and local employment laws and regulations (e.g., FLSA, FMLA, EEO, ACA, I-9).
  • Manage and coordinate the company's immigration processes (e.g., H-1B, L-1, PERM) in partnership with external legal counsel, serving as the primary liaison between employees, management, and attorneys.
  • Maintain and update the employee handbook and HR policies.
  • Lead internal and external compliance audits, and manage all required reporting and filings.
  • Maintain secure and compliant employee records, including immigration documentation.

Process Optimization & Project Management:

  • Continuously evaluate, document, and improve HR operational workflows to enhance efficiency, scalability, and the employee experience.
  • Lead or participate in key HR projects, such as HRIS implementations/upgrades, process automation, and annual policy renewals.

Cross-Functional Support & Employee Experience:

  • Manage the HR shared services inbox, responding to and resolving employee and manager inquiries regarding policies, systems, and processes.
  • Partner with HR Business Partners (HRBPs) to support strategic initiatives and provide operational data and system support.
  • Collaborate with Finance on payroll audits, budgeting, and month-end/year-end close processes.
  • Support the Total Rewards function during annual benefits enrollment, compensation reviews, and bonus cycles through accurate data management and employee communications.

Qualifications

Required:

  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • 5+ years of progressive experience in HR Operations, HRIS, or a similar hands-on HR generalist role, with in-depth knowledge of U.S. employment laws.
  • Minimum 3 years of hands-on experience as a system administrator for ADP Workforce Now (or a similar enterprise HRIS/payroll platform).
  • Proven expertise in managing onboarding, offboarding, payroll coordination, and HR data management.
  • Strong analytical and problem-solving skills with advanced proficiency in Excel/Google Sheets and HR reporting.
  • Exceptional attention to detail, organizational skills, and ability to handle confidential information with discretion.
  • Excellent verbal and written communication skills.
  • HR certification is preferred (e.g., SHRM-CP, SHRM-SCP, PHR, SPHR).
  • Project management experience with a focus on process improvement or system implementation.
  • Demonstrated ability to create dashboards and translate data into actionable insights.
  • Possesses the highest level of integrity, professionalism, and confidentiality required to handle extremely sensitive compensation, equity, and payroll data. Must demonstrate sound judgment and maintain strict confidence in all matters.
  • Exceptional time management, and conflict resolution skills.
  • Excellent ability to handle multiple priorities in a busy, ability to thrive in a fast-paced, high-energy, and dynamic work environment.
  • Proactive, resilient, self-directed and self-motivated with the ability to execute with minimal oversight. Willing to take challenges, working with passion and sense of responsibility.
  • Proficiency in Mandarin/ Spanish is a significant plus.
  • Proficient in Microsoft Office Suite, esp. Excel.
