Description:

Our client is seeking a detail-oriented and highly organized Administrative Assistant to support the daily operations of their Homeowners Association (HOA) management services. This role is essential in ensuring smooth coordination between homeowners, board members, vendors, andinternal management. The ideal candidate is customer-service focused, proactive, and able to thrive in a fast-paced environment.

Key Responsibilities

  • Maintain organized filing systems for documents, contracts, correspondence, and HOA records.
  • Track architectural review applications, community violations, and compliance-related updates.
  • Respond to and route phone calls, emails, and inquiries from homeowners, board members, and vendors.
  • Assist with preparing documents and materials for HOA and board meetings.
  • Manage administrative support for community amenities including gates, pool houses, clubhouses, and recreational facilities.
  • Coordinate reservations for community rooms, clubhouses, tennis courts, and other shared amenities.
  • Partner with property managers to understand and support the needs of assigned communities.
  • Process and record payments, fees, and assessments.
  • Support collection efforts for delinquent accounts and coordinate with legal partners when necessary.
  • Communicate with vendors to schedule maintenance, repairs, and service appointments.
  • Assist in obtaining bids and proposals for community projects.
  • Support invoice processing, assessment collection, and financial record management.
  • Collaborate with the accounting department to ensure accurate financial documentation.
Qualifications
  • High school diploma or GED required; additional business administration training is a plus.
  • Prior experience as an administrative assistant or in a similar support role.
  • Strong customer service skills and professional telephone etiquette.
  • Ability to manage multiple tasks in a fast-paced environment.
  • Exceptional attention to detail and organizational skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel).
  • Experience with HOA management software is a plus, but not required.

Location: Simpsonville, SC
Schedule: Full-Time, Monday-Friday, 8:00 AM - 5:00 PM
Compensation: $40,000-$45,000
