The Office Administrator supports the daily administrative and operational functions of the office. The ideal candidate is organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.

Essential Duties & Responsibilities:

  • Service as the primary contact for incoming office phone calls and customer inquiries.
  • Process customer payments, assist with billing inquiries, and processes check scanning and bank deposits.
  • Support the Scheduling Coordinator as needed with service call scheduling.
  • Coordinate and schedule fire alarm inspections and maintain related documentation.
  • Send inspection reports to customers and close completed inspection tickets.
  • Update and maintain required state compliance and inspection reporting systems.
  • Ensure customers billed for inspections are scheduled and receiving services accordingly.
  • Maintain accurate and up-to-date customer account records, including contact and billing information.
  • Process account cancellations and assist customers with administrative request such as tax forms and insurance certificates.
  • Assist other departments as needed
  • Assists with projects and event support
  • Perform other duties assigned by management.
Education/Qualifications:
  • Two (2) years of related administrative, office or clerical experience
  • Advanced proficiency with Microsoft Office Suite including Excel, Word and PowerPoint
  • Experience with Excel and be comfortable with managing excel generated reports
  • Excellent time management skills with a proven ability to meet deadlines.
  • Notary Public certification is a plus but not required.
  • Experience in office setting
Other Duties:
  • Adheres to the Code of Conduct, Confidentiality Agreement, and Company Safety Policy.
  • Performs other duties as assigned.
Physical Requirements:
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
