Tiny Troops Soccer Enrollment & Operations Coordinator

Location: Remote (Applicants must be physically located within the following states to be eligible to apply: Alabama, Florida, Georgia, Illinois, Missouri, North Carolina, Texas, Tennessee, Virginia, andWashington)

Job Type: Part-Time (15-20 hours per week)

Hourly Salary Rate: $18-21 per hour

Working Hours: Flexible hours between 9:00am and 5:00 pm Central Time Zone. Occasional evening hours may be required for interviewing applicants located in different time zones. Please note, Enrollment and Operations Coordinator must operate between the hours of 9am CST and 5pm CST regardless of the individuals home time zone.

Equipment Requirement: Applicants must provide their own desktop or laptop computer and have reliable internet with video streaming capabilities.

Mandatory Company Meetings:

Virtual company meetings are mandatory and scheduled as follows:

  • Each Thursday from 12:00 pm to 1:30pm CDT.
  • The first Thursday of each month from 6:30pm to 7:30pm CDT.
Eligibility: You will need to provide valid identification to verify you are eligible to work in the U.S. if offered the position.

Position Summary

The Enrollment & Operations Coordinator supports the day-to-day administrative and operational functions of Tiny Troops Soccer. This role is responsible for managing registration processes, maintaining accurate participant data, supporting customer communication, and ensuring monthly programming is prepared and executed efficiently. The position requires strong attention to detail, organization, and consistency in following established systems and timelines.

Daily Responsibilities
  • Manage trial enrollments and follow-up communication
  • Monitor and update Go High Level and LeagueApps systems
  • Respond to registration-related emails (age changes, failed payments, etc.)
  • Review registrations and update waitlists during open enrollment
  • Roster late enrollments and maintain accurate participant counts
Weekly Responsibilities
  • Conduct abandoned cart outreach
  • Complete direct enrollment updates and fee edits
Monthly Responsibilities
  • Create and update program schedules
  • Prepare upcoming enrollment periods (activity dates, payment plans, availability)
  • Send age-up notifications and customer communications
  • Apply referral credits
  • Manage waitlists and participant updates
  • Perform website accuracy checks prior to enrollment launch
  • Prepare and send registration emails and social media posts
  • Monitor and follow up on failed payments
  • Support pop-up shop coordination and merchandise preparation
  • Maintain registration tracker and enrollment reporting
  • Combine or close under-enrolled classes as needed
  • Process transfers, age-up moves, and refunds when necessary
  • Remove cancellations and finalize roster updates
  • Distribute birthday lists to coaching staff
  • Send on-call scheduling communications
  • Complete end-of-month reporting and tracking
  • Maintain merchandise tracking and coordinate orders
End-of-Month Responsibilities
  • Finalize enrollment records and reports
  • Update merchandise and participant tracking
  • Process late enrollments and finalize class status
  • Submit location payment tracking
  • Provide monthly merchandise reporting to accounting
As-Needed Responsibilities
  • Add coaches to LeagueApps
  • Manage merchandise purchasing
  • Handle customer dispute claims
  • Support quarterly reporting requirements
