In this challenging role, you will be supporting the SRC - Student Records department at Greenville Technical College. Duties may include any or all of the following.
The Registrar is responsible for the supervision and management of all administrative and operational functions of the Student Records Office, including registration, transcript evaluation, graduation auditing, records scanning, and related processes. The Registrar ensures the integrity, accuracy, security, and compliance of all academic records for current and former students, and establishes policies and procedures for the responsible maintenance of the college's academic records. The role oversees degree audits, production of official transcripts, certificates, diplomas, and degrees, and coordinates commencement ceremonies. The Registrar advises students, faculty, and staff on academic policies and regulations, interprets and enforces FERPA and related requirements, serves as chair of the Commencement Committee, and participates on additional institutional committees as assigned.
Provides leadership for the Student Records Office and ensures the integrity, security, and confidentiality of academic and student records. Manages the student information system, provides system training as needed, and supervises office staff, including timekeeping, oversight, and completion of annual performance evaluations (EPMS). Develops and manages departmental budgets for student records, transcript evaluation, and scanning, while conducting periodic cost and productivity analyses. Establishes and implements departmental goals, objectives, policies, and operating procedures; monitors and evaluates effectiveness; and completes annual departmental assessments to support continuous improvement.
Responsible for the registration process for all students and supervises the audit of academic records to certify graduation eligibility. Plans and oversees all pre-registration, registration, and program adjustment activities, and directs all functions of the Student Records Office. Oversees the management of student academic records, grade audits, degree tracking, enrollment verification, and graduation certification, while ensuring FERPA compliance. Analyzes enrollment trends and ensures the accurate and timely production of official transcripts, certificates, and diplomas.
Ensures that all college transcripts received are processed in accordance with institutional and departmental policies to support fair, accurate, and timely transcript evaluation and credit application. Ensures that the latest transfer agreements are consistently applied during transcript analysis. Provides supervision and oversight of transcript evaluation staff and develops standardized processes aligned with college policy to ensure an equitable, precise, and efficient evaluation system. Maintains a high level of trust and integrity within the transfer and articulation process through accurate and compliant transcript evaluation. Researches, analyzes, and resolves disputes related to academic records, student services, academic policies, and billing issues. Works collaboratively with faculty and staff to facilitate resolution, improve processes, and enhance services that support student success.
Supervises the coordination, evaluation, and certification of all graduation applications and oversees the full graduation process, including all elements of the commencement ceremony. Serves as Chair of the Commencement Committee. Develops and recommends the implementation of technology solutions to enhance services, in coordination with the college's Office of Information Technology (OIT).
Ensures compliance with institutional, system, state, and accreditation reporting requirements by overseeing accurate data submission, records integrity, and coordination with internal and external reporting entities. Implements and oversees controls and solutions to mitigate fraud, protect data integrity, and ensure the security of student and academic records.

Minimum Qualifications Master's degree in student services, business management, public administration or administrative services and four (4) years of experience in student services, business management, public administration, or administrative services.
Preferred Qualifications Master's degree with at least 6 years of relevant experience in student services, business/public administration, or administrative services as well as personnel management. Demonstrated experience in higher education/student records operations, regulatory compliance, and use of a student information system, with leadership or supervisory responsibility. Student records and registration processes; FERPA and other federal/state higher-education regulations; academic policies and degree requirements. Student information systems proficiency, strong attention to detail, data accuracy, problem-solving, communication, and supervisory/leadership skills.
