Job purpose:
The administrative coordinator enhances the overall effectiveness of the Vice-President of Student Affairs by coordinating complex administrative and technical functions to ensure the division's fiscal, operational, and management functions are carried out in an efficient and effective manner.
Job Functions:
EXECUTIVE SUPPORT: Provides coordination and oversight of administrative and business functions for the executive and the office. Provides and manages high level service, communication, and correspondence. Prepares reports and analysis for various initiatives. Coordinates with division colleagues to ensure policies, protocols and procedures are followed regarding budget development, policy/procedure updates, situations with risk, complexity, and/or broad impact.
DIVISION SUPPORT: Provides administrative and logistical support to divisions within the Student Affairs division. Coordinates logistics and communications for identified division initiatives, events, and/or awards.
CROSS DIVISION SUPPORT: Establishes and maintains positive relationships with constituents and stakeholders to ensure the Division provides resolution and needs are met. Coordinates and communicates status of projects or activities aligning with the strategic plan. Collaborates with the Student Development division to support compliance parameters for student rights and responsibilities. Collaborates with Academic Affairs counterpart for communication and documentation for student due process situations. Ensures policies and procedures within the scope of the chief student services officer are updated in alignment with college policy.
FISCAL MANAGEMENT: Works with the VP to provide coordination of budgets and financial planning including supply and expense management, project and equipment funding, and compliance with policies and grants. This includes monitoring funds and balances, service levels, and reconciliations.
OTHER; Participates in professional development activities offered through the College, through the State Tech system, and other state organizations as appropriate. Participate in College committees. Performs other duties as assigned.
Minimum and Additional Requirements
A high school diploma and relevant experience in business management, public administration, or administrative services or a bachelor's degree may be substituted for the required work experience.
The position requires effective oral and written communication skills to effectively work with a variety of constituents. Able to work in a team environment with persons from different backgrounds and perspectives. Present a professional image at all times. Proficient in Microsoft Office Suite. Ability to maintain confidentiality at all times for student, employee, institutional, and commission records. Ability to effectively prioritize. Ability to adapt to evolving conditions.
