Administrative Assistant

Description:

The Administrative Assistant will be responsible for providing administrative and clerical support to ensure efficient office operations. This role will manage calendars, coordinate meetings, prepare documents, handle correspondence, and assist with day-to-day office tasks. In addition, the Administrative Assistant will collaborate with team members across departments to support smooth workflow and effective communication within the organization.

Key Duties and Responsibilities

  • Under direct supervision, provides general administrative support to a department and/or group of professionals of a basic and routine nature.
  • Operates the switchboard. Screens calls and forwards messages. Greets visitors and informs office staff of arrival.
  • Type correspondence, documents and spreadsheets. May input data into databases.
  • Compiles and analyzes basic information for inclusion in reports or presentation materials, prepares charts, graphs or tables as necessary.
  • Receives and responds to routine correspondence following established procedures.
  • Maintains files of correspondence, reports, records and contracts.
  • Opens, sorts and routes mail to the appropriate persons.
  • Makes copies and files various documents.
  • Follow safety rules, guidelines and standards for all projects. Participate in pre-task planning. Report any safety issues or concerns to management.
  • Be responsible for maintaining quality standards on all projects

Requirements:
  • High School Diploma/GED required
  • Preferred 1 year of related experience
  • Microsoft Office Suite skills; advanced skills preferred
  • Proficient written and verbal communication skills
  • Ability to prioritize to effectively manage work load
  • Ability to handle sensitive situations and confidential information with discretion
  • Ability to work effectively with teams and independently
  • Good problem solving and analytical skills; ability to identify process improvement suggestions
  • Fill in where needed
