Job Summary

The Medical Records & Patient Engagement Specialist plays a key role in ensuring accurate management of patient health information while actively supporting patient communication and engagement. This position serves as a bridge between patients, providers, and internal teams by maintaining medical records, supporting compliance, and enhancing the overall patient experience through clear, compassionate interaction.

Requirements

Medical Records Management

  • Maintain, organize, and safeguard patient medical records in accordance with HIPAA and organizational policies
  • Accurately retrieve, update, scan, and index medical documentation in electronic health record (EHR) systems
  • Process medical record requests from patients, providers, and authorized third parties in a timely manner
  • Ensure data integrity, accuracy, and completeness of patient information
  • Support audits, quality assurance reviews, and compliance initiatives, including Health Information Management (HIM) program.
  • Ability to identify when to escalate Medical Records needs or issues to the Compliance team.
Patient Engagement & Support
  • Serve as a primary point of contact for patients and external parties regarding medical records, forms, and care-related inquiries
  • Educate patients on accessing their medical records, patient portals, and digital tools
  • Communicate clearly and empathetically with patients via phone, email, and in-person interactions
  • Assist patients with appointment coordination, follow-ups, and care navigation as needed
  • Identify opportunities to improve patient satisfaction and engagement processes
Collaboration & Administrative Support
  • Coordinate with clinical staff, billing teams, and external providers to ensure seamless information flow
  • Support intake, consent forms, and documentation workflows
  • Participate in process improvement initiatives related to records management and patient experience
Qualifications:

Required
  • High school diploma or equivalent (associate's degree in health information management or related field preferred)
  • 1-3 years of experience in medical records, healthcare administration, or patient services
  • Knowledge of HIPAA and healthcare privacy regulations
  • Proficiency with EHR systems and basic office software (Microsoft Office, Google Workspace)
  • Strong organizational skills and attention to detail
Preferred
  • Experience in a clinical, hospital, or outpatient healthcare setting
  • Familiarity with patient portals and digital engagement tools
  • Certification such as RHIT or equivalent (a plus, not required)

Salary Description

$45,000 - $53,000/year
