EXECUTIVE OPERATIONS ASSISTANT - Multi-Company Leadership Support The Role: Right arm to an executive leading multiple companies - an established marketing/consulting firm and a startup launching now. You'll handle operational execution across both businesses so leadership can focus on strategy and revenue generation. Who Will Crush This Role: • Executive-level thinking - You anticipate needs, see around corners, connect dots without being told • Extreme learning speed - Instructions given once, you figure out the rest • High-velocity operator - You match intensity and move fast without sacrificing quality • Comfort with ambiguity - Startup chaos on one side, established operations on the other - you thrive in both • Systems builder - You don't just complete tasks, you create processes that scale • Tech proficiency - CRMs, project management tools, Google Workspace, AI tools - you learn platforms quickly • Proactive ownership - You see what needs to be done and handle it Who Will Struggle: • Needs constant direction or repeated explanations • Prefers slow, methodical work with predictable structure • "That's not my job" mentality • Requires extensive training and onboarding support • Can't handle rapid context-switching between companies/priorities The Details:Title: Executive Operations Assistant • Pay: $70,000 - $85,000 (based on experience) • Location: Hybrid • Hours: 45-50/week during high-intensity periods Why You'd Want This: • Direct access to executive-level strategy, marketing, operations, and business building • Real decision-making authority, not just task execution • Learn how to build and scale businesses from the inside • Work with someone who values speed, independence, and results Responsibilities: What You'll Actually Do:Executive Support: Calendar management, email triage, meeting prep and follow-up, daily priority briefs • Google Workspace Management: Drive organization, document creation, spreadsheet management, and file system maintenance • CRM Setup & Management: Configure and maintain CRM systems, manage client data, track pipeline, and workflows • Team Coordination: Check in with department managers, track deliverables, and ensure nothing falls through the cracks • Project Management: Own task tracking platforms, monitor progress across teams, flag delays and bottlenecks • Hiring Support: Screen applicants, coordinate interview process, handle initial candidate interactions • Content & Documentation: Convert recordings into presentations and workbooks, create SOPs, document processes • Strategic Execution: Research, vendor coordination, event logistics, board meeting prep - whatever the business needs Qualifications: • Executive-level judgment - Anticipate needs, prioritize competing demands, and make sound decisions without constant oversight • Rapid learning capability - Master new systems, tools, and processes with minimal instruction; figure out solutions independently • Technical proficiency - Experience with CRM platforms, Google Workspace, project management tools; comfortable learning new software quickly • Systems & process orientation - Build scalable workflows, document procedures, and create organization from chaos • High-velocity execution - Thrive in fast-paced environments with multiple priorities; deliver results without sacrificing quality Compensation: $70,000 - $85,000 yearly
