What does this role do at HCPro?
The Event Coordinator provides logistical support across all event product lines related to in-person and virtual conferences, seminars, and webinars. This position is responsible for managing projects using established documentation, balanced with the ability to adjust to evolving needs with a calm and logical approach.
Primary Duties and Responsibilities:
- Coordinate with internal colleagues to understand, determine, and assess the logistical requirements of webinars, virtual conferences, and in-person conferences.
- Organize multiple events simultaneously throughout the full event planning cycle.
- Utilize standard templates, processes, and guidelines to produce event materials, including formatting presentation slides for overall event consistency.
- Maintain event information within internal program databases and communicate changes to the appropriate internal teams.
- Clearly and effectively communicate with speakers, exhibitors, and internal team. members regarding agreements, materials deadlines, and expectations for an optimal event experience.
- Work with outside vendors in the production of promotional items.
- Manage development and delivery of conference app for in-person and virtual conferences.
- Oversee registration and conference app onsite at our in-person conferences.
- Create informational material download pages for all event types using WordPress
- Execute attendee email communications for conferences and seminars.
- Support virtual event special projects on a variety of platforms, including but not limited to GoToWebinar, Zoom, and Wistia.
- Reconcile and submit vendor and speaker payments.
- Travel to in-person conferences to support onsite management.
Qualifications:
- 3+ years of relevant experience required.
- Expertise in MS Office applications-Word, Excel, PPT, Outlook-required.
- Strong organizational skills and the ability to prioritize responsibilities-required.
- Excellent verbal/written communication skills-required.
- Ability to manage tasks under tight deadlines with exceptional attention to detail-required.
- Capability to work independently as well as part of a team-required.
- Adept at learning new software programs and technologies-preferred.
- Experience with event software (i.e., Zoom, GoToMeeting), WordPress, and HTML-preferred.
