Overview

The Conflicts & Intake Specialist supports the organization's risk management processes by helping prevent inadvertent conflicts of interest when onboarding new clients, matters, or personnel. This position may be performed on a hybrid schedule from the Washington,DC office or fully remote from an approved U.S. state.

The Specialist conducts comprehensive conflicts checks by searching internal databases, researching external corporate and public sources, and collaborating with professionals across the organization to understand the nature of proposed work. After completing searches, the Specialist performs preliminary analysis and delivers clear, actionable reports to support conflict resolution and matter intake decisions.

Responsibilities

  • Operate a range of internal databases and software tools, including conflicts systems, client/matter management platforms, corporate affiliation databases, and third-party government and internet search tools.

  • Process client and matter intake requests in accordance with established procedures, carefully reviewing submissions, ensuring accuracy, and following up with attorneys and staff to gather missing information.

  • Conduct conflicts searches in line with departmental guidelines-running effective queries, analyzing and filtering results, and providing meaningful information to Conflicts & Intake Analysts and requesting attorneys.

  • Collaborate with internal departments such as Accounting, Information Governance, and others as needed to ensure timely and accurate intake processing.

  • Verify the accuracy of daily and weekly reports related to potential and finalized new clients and matters, ensuring information is complete, clear, and reliable.

  • Publish timely, accurate, and useful reports that support decision-making and compliance.

  • Manage and prioritize a high volume of tasks, maintaining strong attention to detail, organized electronic files, and proactive communication regarding status updates.

  • Deliver thorough, accurate results under tight deadlines; respond effectively to urgent and time-sensitive intake and conflict-check requests across multiple time zones.

  • Respond to internal requests regarding personal securities trading in accordance with organizational policies.
Qualifications
  • Bachelor's degree or equivalent professional experience.

  • Minimum of three (3) years of experience in a law firm conflicts department.

  • Typing proficiency of at least 40 wpm.

  • Strong ability to multi-task and exercise sound judgment in a fast-paced environment.

  • High level of accuracy, attention to detail, and commitment to producing quality work.

  • Excellent organizational and planning skills.

  • Strong written and verbal communication skills, with the ability to interact effectively with individuals at all levels inside and outside the organization.

  • Self-motivated, dependable, and capable of working independently.

  • Demonstrated trustworthiness and ability to handle confidential and sensitive information.

  • Proficiency in Microsoft Word and Excel; strong online research skills; and experience working with databases.

  • Reliability, responsiveness, and a strong sense of urgency.

  • Flexibility to work additional hours or shifts when required.
