The Health Education division is seeking a detail-oriented and proactive Administrative Assistant to support the division. In this role, this person will oversee and perform a variety of complex and sometimes confidential administrative tasks and projects. They will work closely with internal and external stakeholders to coordinate operations, procedures, and resources for maximum efficiency. This person will communicate and collaborate with leaders across the college to gather information and deliver results.

Job Functions:

  • OPERATIONS MANAGEMENT: Oversees the office and division operational processes and procedures. Manages the division office customer service and administrative support staff for growth and continuous improvement. Ensures compliance with regulations and procedures such as accreditation and credentialing, P-cards, budgets, classroom management, or other items of pertinence. Establishes and manages the Dean's calendar, schedule activities with business and industry, internal partners and teams, government officials, and stakeholders in the TCTC community. Uses independent judgement regarding the use and scheduling of the Dean's time. Properly routes correspondence and requests to the proper College and Divisional representative. Handles making meetings and events arrangements for the Dean. Researches and compiles information and data for the Dean's use. Directs and coordinates special projects as required and other duties assigned by the Dean.
  • COMMUNICATION MANAGEMENT: Executes complex administrative services for the Dean and on behalf of the Division in communication with internal and external constituents. Informs, shares, and seek guidance from the Dean on all matters that come to the division office. Prepare summaries of faculty work loading, class scheduling, faculty contracts, faculty overloads, all student mandatories, and student situations or circumstances and provide detailed reports on all those matters to the Dean. Provides expertise, oversight, and coordination of the Dean and Division's communications and administrative needs. Ensures accuracy and efficiency in all communications.
  • RELATIONSHIP MANAGEMENT: Establishes and maintains positive relationships with constituents and stakeholders to ensure the Division provides resolution and needs are met. Interprets policies and program requirements when resolving complaints and seeking solutions. Routes complaints accurately and according to policy.
  • FISCAL MANAGEMENT: Works with the Dean to provide coordination of budgets and financial planning including supply and expense management, project and equipment funding, and compliance with policies and grants. This includes monitoring funds and balances, service levels, and reconciliations.
Minimum and Additional Requirements
  • An associate degree and work experience that is directly related to the area of employment. A bachelor's degree is preferred. Excellent and proactive written and verbal communication with all levels of partners and stakeholders; experience with Microsoft Office Suite; ability to prioritize and manage projects, tasks, and communications based on scope and urgency; ability to quickly learn and interpret policies and processes to ensure liability and risk to the division and college are minimized; ability to maintain confidentiality in all division and college matters.
