Responsibilities: • Make travel arrangements, handle logistics, and take care of accommodations as needed • Organize and post to social media accounts, and perform simple website changes, such as updating FAQs on Wordpress sites, blogs, or other platforms • Perform additional administrative tasks such as online research, light bookkeeping, and data entry as requested • Screen, answer, and return phone calls in a professional manner • Direct email management tasks including writing, proofreading, and sending emails - update contact lists as needed You will oversee the operational backbone of two national companies: Systems & Operations • Build, maintain, and improve SOPs, workflows, and checklists • Manage onboarding for agents and attorneys • Maintain certification and recertification systems for Attorney Backed Agents™️ • Ensure branding and compliance consistency across all documents • Document processes and create training videos (Loom) Digital Marketing & Automation • Build out Go High Level funnels, pipelines, automations, and marketing workflows • Manage social scheduling across Facebook, Instagram, LinkedIn, and TikTok • Create simple Canva graphics matching the company branding • Maintain online directories, landing pages, and forms • Track and report KPIs weekly Transaction & Listing Coordination • Manage FlexMLS listings, updates, and listing prep • Coordinate buyer and seller files in ZipForms and Skyslope • Communicate with clients, agents, lenders, attorneys, and cooperating brokers • Create offer packages, disclosures, and transaction timelines • Hold agents accountable to standards and deadlines Communication & Support • Serve as the primary point of contact for national agents and attorneys • Respond to “How do I…?” questions with clarity and ease • Oversee FUB database hygiene and task assignments • Draft messages and emails on behalf of leadership • Maintain a calm, professional presence with all parties involved Qualifications: • A high school diploma or equivalent is needed; some college is an asset • Advanced computer proficiency, especially MS Office (Word, Excel, Powerpoint) is desired • Superb customer service, time-management, organization, and communication skills, both written and verbal skills, are important • Work with little to no supervision on a variety of projects and produce consistent, high-quality work • Years of experience (1-2) as an administrative assistant, personal assistant, office assistant, or executive assistant is necessary Required Experience: • At least 2 years in real estate operations or transaction coordination • Strong experience with Go High Level (funnels, automations, pipelines) • Experience using: FUB, FlexMLS, ZipForms, Skyslope, DocuSign, Google Suite • Comfort communicating with agents, clients, attorneys, and lenders • Strong writing and communication skills • Highly organized, detail-oriented, and proactive • Able to manage multiple tasks without supervision • Fast learner, fast implementer, tech-savvy Bonus: • Canva experience • Marketing automation experience • eXp Realty experience • Meta Ads or content scheduling experience Compensation: $8,400 yearly
