Summary:
Reporting to the SVP of Operations, the Office Manager provides support to all departments and all levels within the company. With minimal supervision, schedules and coordinates logistics for regular and ad hoc events, manages inventory of office supplies, and manages daily administrative tasks.
Responsibilities:
Works with executives, managers, and supervisors to coordinate and schedule business meetings, including monthly operational reviews, communication forums, roundtable meetings, and other regular events. Deconflicts schedules and conference rooms as needed.
Directly coordinates logistical planning and execution internally as well as externally with vendors in support of major company events (holiday party, company picnic, end of year awards ceremony, servicer summits, etc.)
Provides assistance to various management levels with travel planning
Maintains adequate office supply inventory and inventories for break rooms to support operations involving 450+ employees across 5 floors
Serves as main operational contact point for supply and service providers
Coordinates various recognition events, including employee appreciation week. Coordinates individual events with scheduling, purchasing, and catering arrangements. Provides consolidated communication to all staff members related to events
Assists Resurgent Humanitarian Council with communications to all staff during campaigns
Consolidate and edit contents of monthly operational reviews for professional presentations
Provide limited clerical support as needed
Relays facilities related issues to building management company via ticketing system
Qualifications:
3-5 years' related work experience required
Ability to work with all levels of employees in a professional and supportive manner
Advanced communication skills
Ability to prioritize work and multitask
Ability to work independently
Well organized with good time management skills
Excellent MS Office skills required (Word, Excel, PowerPoint, Visio)
Must be a self-starter and very detailed oriented
Must possess very good analytical skills and be able to work well with numbers and data.
Must have the ability to work under stress with the ability to meet deadlines
