Description:

We are seeking a highly organized, proactive Office & Operations Manager to join a growing design services firm. This person will serve as a key operational partner to the owner and design team, handling administrative, procurement, invoicing, and client-service responsibilities so the design team can focus on creative work.
Responsibilities:

  • Serve as the main point of contact for client inquiries: schedule consultations, field questions, assist with follow-up, and ensure timely responses
  • Create and send invoices; review vendor/supplier invoices vs. original quotes; reconcile discrepancies prior to payment
  • Track orders from procurement through delivery and installation, including follow-up on quotes, placing orders, monitoring progress, recording damage claims, and coordinating with designers, assistants, and vendors
  • Perform light bookkeeping and administrative tasks: maintain procurement logs, vendor lists, office supplies, and records (digital and physical)
  • Support the design team by coordinating logistics (shipping, deliveries, installations, damage claims), assisting with vendor communication, and ensuring smooth project operations
  • Manage organized systems and processes: streamline workflows, manage filing systems, and implement process improvements for greater efficiency
  • Operate independently while collaborating with the owner, designer, and design assistants-comfortable making decisions, taking initiative, and escalating when appropriate
Qualifications:
  • Previous experience in an administrative or operations role in a design, showroom, retail, or interior design services environment preferred
  • Strong proficiency in Google Workspace
  • Experience with a cloud-based project management platform
  • Proven experience managing vendors/suppliers, purchase orders, invoices, and claims
  • Excellent written and verbal communication skills with strong follow-up and attention to detail
  • Self-starter who is comfortable working independently and taking initiative
  • Professional, personable demeanor with clients, vendors, and tradespeople
  • Ability to work an occasional Saturday (one per month or fewer) or adjust schedule as needed
  • Bookkeeping or financial reconciliation experience
  • Interest in the design industry and willingness to learn design-adjacent logistics
  • Local to the Greenville area
Benefits & Compensation:
  • $55,000-62,000
