Overview
JOB PURPOSE:
Each Leasing Consultant has primary marketing responsibility as it pertains to interfacing with prospective residents at the community, handling day-to-day issues with current residents, and coordinating the renewals of existing leases. In this position, Leasing Consultants are the communitys most important personnel as they can determine how well a community does in a very competitive marketplace. Specific training for Leasing Consultants centers on Fair Housing, closing techniques, and overcoming objections.
Primary Duties & Responsibilities
Will always include those specifically assigned by the immediate supervisor.
- Provide excellent service to all residents, prospects, and visitors to the community.
- Effectively lease apartments in accordance with occupancy goals.
- Follow Fair Housing Standards in all dealings with prospects and residents.
- Conduct outside marketing under the direction of the Assistant Manager and the Community Manager.
- Conduct the application review for each lease including credit and income verifications and background checks.
- Complete lease paperwork and files for each resident to include the lease, all addendums and other proper documentation and signatures.
- Ensure the condition of leased apartments prior to move-in, including a final inspection.
- Follow up with residents throughout their lease terms, promote the annual renewal campaign for the community, manage lease renewals and complete lease documents.
- Complete all tasks necessary to successfully operate the leasing office.
Specific Responsibilities
- Daily/Weekly: Daily Opening and Closing Procedures, including a daily marketing inspection of the model, leasing path, and amenities areas. Perform cleaning and organization activities as needed.
- Answer all phone calls, emails, and voicemails received during the day.
- Signage inspection of bootlegs, banners, balloons, and brochures.
- Leasing Office/Clubroom Appearance: Vacuum and clean clubroom as needed.
- Refreshments: Prepare cookies or restock candy, beverages, and coffee each morning; notify Community Manager when supplies are needed.
- Leasing: Greet prospects, show apartments, coordinate the leasing process, and review applications for verification.
- Leads: Maintain Guest Cards and leasing notebook; follow up on all traffic with a Thank You email the same day as their visit and a phone call within 24 hours; review leads weekly with notes on follow-up.
- Applications: Enter prospect information into Entrata and follow up to retrieve any incomplete information.
- Lease Files: Ensure completed lease file is forwarded to Assistant Community Manager for review and approval; after approval, send a copy to resident and file properly.
- Work Orders: In conjunction with Maintenance Team, enter work orders into Entrata; provide follow-up if work cannot be completed within 24 hours; notify Community Manager of problems.
- Renewals: Complete renewal tasks as necessary.
Monthly/On-Going
- Leads: Archive inactive leads; ensure Leads and Applicants in Entrata are up to date.
- Outside Marketing: Conduct outside marketing under the direction of the Assistant Manager and Community Manager.
- Audits: Complete audits of lease files and Entrata data as instructed.
- Market Knowledge: Stay up to date with competitor rental rates, features, and specials to effectively overcome objections during marketing.
Turn
- Roommate Matching: Assist Assistant Community Manager with roommate matching processes and communication.
- Move-In Communication: Communicate resident requests or issues during the Turn process to the Assistant Manager and the Maintenance Supervisor.
- Move-In Process: Coordinate Move-In with new residents; complete lease packet at move-in and enter relevant data (gate codes, parking decals, utility hook-ups, water submetering sheet processing if applicable).

Qualifications
- Professional and enthusiastic demeanor from sales, leasing, marketing, and customer service experience.
- Able to demonstrate a positive attitude and effectively communicate the benefits of the apartment community to prospective students, their parents, and University personnel.
- Excellent customer service, sales, and negotiation skills.

Education and Experience
- Bachelors Degree preferred; or High School diploma or GED; or one to three months related experience and/or training; or equivalent combination of education and experience.
Other and/or Preferred Education/Experience
- Knowledgeable in Microsoft Word and Excel.
- Knowledge in Entrata preferred.

Working environment includes an office environment and, at times, an outdoors environment with changing weather conditions. The role may involve exposure to odors, fumes, and equipment noise; periodic travel outside the area may be required.
