Position Summary

Ogletree's Knowledge & Innovation department has an opportunity for a Program Specialist to join the K&I Premium Services team. The primary role of the Program Specialist is to support the successful execution of client programs and various team projects. This entails providing administrative assistance, managing data and tasks, and collaborating with clients and internal teams to ensure program objectives are met effectively. Additionally, you'll contribute to improving processes, generating reports, and enhancing client satisfaction.This requires sound judgment and discretion when responding to clients and Ogletree attorneys to determine the most effective escalation path to quickly resolve issues or concerns.This position will require a strong commitment to client service as well as the ability to effectively collaborate with and influence people across the firm to “manage” complex requests.


Essential Functions

  • Work with Premium Services and as needed firm departments, to support client programs as requested by client teams and internal stakeholders

    • Client Interaction: Serve as a point of contact for program clients, offering assistance, updates, and addressing inquiries. Foster positive relationships with clients to understand their needs and ensure their satisfaction with the program services.
    • Program and Project Support: Provide administrative and operational support for client programs and various team projects. This includes organizing meetings, preparing documentation, and maintaining project schedules to ensure tasks are completed promptly.
    • Data Management: Assist in managing program and project-related data and documentation, ensuring accuracy and confidentiality. Gain proficiency in utilizing data analysis tools.
    • Process Improvement: Participate in identifying opportunities to enhance program and project processes and efficiencies. Offer ideas and suggestions for streamlining operations to improve overall productivity and client satisfaction.
    • Training and Development: Receive and provide training and guidance to develop a clear understanding of program and project goals, processes, and client expectations. Actively seek learning opportunities to enhance skills and capabilities relevant to program and project management.
    • Quality Assurance: Assist in monitoring program and project deliverables to ensure alignment with client requirements and service level agreements. Contribute to implementing quality assurance measures to maintain high standards of service delivery across all projects.
    • Team Collaboration: Work closely with internal teams, including shareholders, attorneys, paralegals, and support staff, to coordinate day-to-day program activities and team projects. Communicate professionally and effectively. Collaborate positively to achieve project objectives and meet client expectations.
    • Task Management: Maintain all day-to-day, weekly, monthly, and annual tasks necessary for program operations and efficiencies. Ensure adherence to timelines and deadlines, proactively identifying and addressing any issues that may arise to maintain smooth program execution and optimize outcomes. Maintain a strong understanding of individual responsibilities and how they contribute to and impact the overall success of the program.

Requirements

  • Four-year college/university degree or equivalent experience
  • 3+ years working in professional services, preferably a law firm
  • Experience with internal stakeholders and cross-department collaboration
  • Outstanding written and verbal communication skills
  • Strong understanding of technology and digital products
  • Analytical experience in understanding user metrics for decision making and process improvements
  • Ability to exercise good business judgment and make well-reasoned independent decisions
  • Highly accountable, self-driven and highly motived
  • Problem solving mentality, experience using internal and/or external resources, conflict resolution and follow through
  • Ability to manage time effectively to meet critical deadlines
  • Ability to remain calm under pressure
  • Familiarity with Project Management techniques as well as completing and interpreting project-related documentation

Benefits

In accordance with Illinois Equal Pay Act Transparency Notice, the expected salary range for this Illinois position is between $62,000 and $93,000. Actual pay will be adjusted based on experience, geographic location, and other job-related factors as permitted by law. This position qualifies for the benefits below.
