With a team of 10+ in-house employees and additional virtual support, we are seeking an experienced Director of Operations who will take ownership of firm-wide operations, ensuring that systems, processes, and people are aligned to support continued success.

Role Overview

The Director of Operations will follow the EOS principles and serve as the integrator of the firm, driving execution, managing team performance, and ensuring operational excellence. This individual will oversee all non-legal operations, allowing the law firm owner to focus on high-value legal work, marketing and business development.

Key Responsibilities:

  • Leadership & Management
  • Strong understanding of EOS (Entrepreneurial Operating System) and experience as an Integrator.
  • Serve as the right-hand operations leader to the firm owner, overseeing firm-wide management.
  • Lead and manage HR, operations, finance, intake, marketing, and IT teams to ensure efficiency and accountability.
  • Implement and manage KPIs and performance tracking across all departments through use of our cloud-based case management software, Filevine, and our Periscope/DOMO program.
  • Maintain and improve firm-wide accountability and operational structure.
  • Ensure all meetings (L10s, team check-ins, project updates) are productive and outcomes-driven.
  • Operations & Process Management
  • Optimize firm workflows, case management systems, and internal processes to reduce inefficiencies.
  • Ensure compliance with firm policies, procedures, and industry best practices.
  • Maintain firm-wide SOPs, documentation, and internal systems.
  • Oversee HR responsibilities, including hiring, training, onboarding, and team development.
  • Manage firm technology and IT, ensuring smooth operation of systems and vendor coordination.
  • Finance & Business Metrics
  • Work alongside the finance team (CPA/bookkeeper) to oversee budgeting, forecasting, and financial health.
  • Monitor firm financials, including expense management and financial KPIs.
  • Improve case efficiency, cash flow, fee per case, and revenue tracking through our firm Jumbotron and other metrics.
  • Marketing & Business Development Support
  • Partner with the firm owner and executive team to oversee marketing strategies, vendor relationships, and campaign execution.
  • Social Media marketing experience a huge plus.
  • Align firm-wide marketing and intake operations for efficiency and lead conversion.
  • Ensure that intake and sales functions are optimized and running smoothly.

What We're Looking For:

Required Qualifications:

  • 5+ years of experience in personal injury law firm operations.
  • Strong background in law firm finance, KPIs, and performance tracking.
  • Experience leading and managing multi-department teams.
  • Deep understanding of case management systems, legal workflows, and law firm best practices.
  • Experience with HR functions, including hiring, training, and performance management.
  • Strong ability to implement and optimize operational systems and processes.
  • In depth familiarity with the Entrepreneurial Operating System (EOS) and Traction principles.

Preferred Qualifications:

  • Previous Director of Operations, COO, or Firm Administrator with experience in a personal injury firm.
  • Proven track record of improving operations, increasing profitability, and driving firm growth.
  • Experience overseeing marketing and business development efforts in a law firm setting.
  • Strong leadership presence, high emotional intelligence, and ability to hold teams accountable.
  • Proficiency with legal case management software, financial tracking tools, and KPI dashboards.
